Transferring Bond from Agent to Self-Management in Victoria: Update the RTBA Record
You've decided to stop paying 7–10% in management fees and manage the property yourself. The rent redirect is straightforward enough — but the RTBA bond record may still show contact details associated with your agent. Check the record and complete any provider update needed so notices reach the right person.
Why the Bond Transfer Matters
Confirm the RTBA bond record has current provider and contact details when you take over management. When a renter initiates a claim, the RTBA gives the rental provider 14 calendar days from its notice to dispute it (20 calendar days if served by post), so make sure the notice reaches the right person.
Updating the record helps keep the RTBA's bond details aligned with your management arrangement and makes it easier to track claims and notices.
Step 1: Set Up Your RTBA Individual Landlord Account
If you don't already have one, register on RTBA Online as an Individual Landlord. Identity verification runs through Service Victoria — you'll need a valid government-issued ID and a unique email address (the RTBA portal rejects shared or generic email addresses).
This step is worth doing before you formally terminate the agency agreement, so there's no gap between your agent deregistering and your account being ready.
Step 2: Update the Bond Record
Use the current RTBA Online instructions for a provider change and confirm the required signatories with RTBA if anything is unclear. For a routine transaction, the portal handles the process digitally; complex administrative circumstances may require paper forms with certified supporting documents.
- Sign in to RTBA Online using your Individual Landlord account
- Follow the portal's provider-change steps and complete the sign-offs it requests
- Confirm the RTBA bond record shows the current rental provider
A co-renter change is handled separately through the RTBA Tenant Transfer process. All remaining renters, incoming renters, and the rental provider must sign that submission.
If your agent is unresponsive or the agency has closed, contact the RTBA directly. Complex administrative circumstances (including disputes about who holds the provider role) may require paper forms with supporting documentation.

Step 3: Verify the Transferred Record
Once the transfer completes, log into RTBA Online and confirm:
- The bond amount matches what was originally lodged
- Your name and contact details are listed as the rental provider
- The renter names on the bond match the current occupants (if a co-renter has changed since lodgement but the agent never processed a Tenant Transfer, now is the time to fix it)
After the change, check the updated bond record and retain any updated Bond Receipt or confirmation RTBA provides.
What to Request from Your Agent Before They Deregister
The bond transfer moves the administrative record, but you also need the tenancy file:
- The original signed condition report (Form 2) — entry and any renter amendments
- The rental agreement and any variation notices
- Rent payment history
- Records of any maintenance or repairs during the tenancy
- Correspondence with the renter about bond-related matters
Without the condition report in particular, you'll have a weak position if a bond dispute arises at end of tenancy. If the agent's file is incomplete — a common problem flagged in property forums — document what's missing in writing before the handover is finalised.
Common Pitfalls
Waiting too long. If you terminate the agency agreement but don't update the bond record, notices may not reach the right person. The 14-day clock on renter-initiated claims (20 calendar days if served by post) runs from the RTBA notice.
Assuming it happens automatically. Changing management arrangements does not itself update the RTBA bond record. Check the record and complete any provider update required by RTBA.
Not checking for co-renter discrepancies. Agents sometimes process roommate changes informally without updating the RTBA. Inheriting a bond record where the named renters don't match the actual occupants creates complications at checkout.
