Gas Safety Certificate Management Software and Reminder Services for Landlords
Missing the annual gas safety check deadline is a criminal offence unless the landlord can show they took all reasonable steps to comply. The most common cause is not ignorance — it is forgetting to book. A landlord who knows the law perfectly well can still let the anniversary date slip past because nobody flagged that it was two months away. That is the problem reminder services and property management software are designed to solve, and several tools compete for this space in the English market.
CertDue: Free Expiry Reminders
CertDue is a free service that sends automated email reminders at 60, 30, and 7 days before your gas safety certificate expires. You enter the property address, the check date, and the expiry date. No account creation, no subscription.
The appeal is obvious — it costs nothing and solves the "I forgot" problem directly. The limitation is equally obvious: CertDue tracks one thing (the expiry date) and does one thing (sends an email). It does not help you verify the engineer's qualifications, track tenant delivery, log access attempts, or manage the Regulation 36A anniversary window. It also monetises through affiliate links for trade quotes, which means the reminder emails nudge you toward partner contractors rather than toward compliance steps.
For a landlord with one property who needs a nudge to book the check on time, CertDue works. For a landlord managing two or more properties who needs an audit trail — or who is preparing for PRS Database registration — it is a starting point, not a system.
Landlord Studio: Property Management with Compliance Features
Landlord Studio offers a free "GO" tier for up to three properties covering basic expense tracking, and a "PRO" tier at £12 to £15 per month plus VAT that adds compliance checklists, automated expiry reminders, and document storage.
The PRO tier handles gas safety expiry tracking alongside EICR, EPC, and smoke alarm certification. You upload your Landlord Gas Safety Record, set the expiry date, and the platform sends reminders. It also stores the document, which is useful for the record-retention requirement: retain each record until two further safety checks of that appliance or flue have been completed, or for two years from the last check if it is removed from the premises.
Landlord Studio's compliance page says the platform stores safety documents and keeps a dated record of what was sent, when, and to whom. It does not describe engineer-category verification or a tenant access-attempt log, so keep evidence of those steps separately. It is useful compliance infrastructure, but it does not replace those checks.
OpenRent: Check Booking Through the Lettings Platform
OpenRent, the online lettings marketplace, offers standalone gas safety inspection bookings alongside its tenant-find and marketing services. You can book a Gas Safe engineer through their partner network without using OpenRent for anything else.
The advantage is convenience — one platform for tenant sourcing, referencing, and safety check booking. The disadvantage is the same as with any agent-managed booking: you are delegating the scheduling but not the statutory liability. You still need to verify the engineer's qualifications yourself, confirm the completed record has all nine statutory fields, and handle delivery to the tenant. OpenRent says it uploads the digital certificate to your account; its service page does not describe records of your engineer-category checks, tenant delivery, or access attempts, so keep evidence of those steps separately.

NRLA: Association Membership with Gas Safety Guidance
The National Residential Landlords Association (NRLA) charges £125 per year for standard membership, which includes legal advice helplines, downloadable tenancy agreement templates, and gas safety guidance. The NRLA's gas safety content is authoritative and regularly updated — it covers the GSIUR 1998 requirements, the Regulation 36A window, and the PRS Database obligations clearly.
Members also get a 5% discount on gas safety checks booked through partner providers (typically saving around £3.50 on a ~£70 check). For a landlord with one or two properties whose only compliance question is gas safety, the £125 annual membership is hard to justify purely on that basis. The value is in the breadth of the membership — legal helplines, tenancy agreement drafts, tax guidance — rather than in gas safety specifically.
What These Tools Do Not Cover
Every tool above handles a piece of the gas safety compliance cycle — the reminder, the booking, the document storage, or the statutory guidance. Landlord Studio provides dated records of tenant document service, but the tools reviewed do not combine that with engineer-category verification, tenant access-attempt logs, defect remediation tracking, and anniversary calculations tied to the Regulation 36A window. Keep any steps your tools do not record separately.
That gap is not a criticism of any individual tool. Reminder services and property management platforms are not designed to be compliance systems. They are designed to manage properties, with compliance as one feature among many.
If you want the audit-trail layer — the worksheets that sit underneath the reminders and the bookings — the Landlord Gas Safety Certificates guide provides the compliance calendar, delivery log, engineer verification checklist, and the other worksheets as a single system designed around the full GSIUR cycle.
