How to Handle NZ Bond Admin Without Property Management Software
You don't need property management software to lodge and refund a bond in New Zealand. Bond Hub — Tenancy Services' online portal — handles lodgement, refunds, and tenant changes directly. What the software gives you is automation and reminders. What it takes is a monthly subscription ($10–$35 plus GST) and platform lock-in. If you're managing one or two properties and want to handle bond admin yourself, here's what the process looks like without it.
What Software Actually Automates
Property management platforms like myRent and RentHQ connect directly to Tenancy Services through API integrations. They automate three things that matter for bond compliance:
- Deadline tracking — automated alerts for the 23-working-day lodgement window
- Digital submission — bond forms submitted directly through the platform instead of Bond Hub
- Record keeping — automated logs of lodgement dates, bond numbers, and processing confirmations
Everything else — rent tracking, maintenance logs, tenant screening, financial reports — is useful for multi-property management but irrelevant to a single bond lodgement.
The Manual Process, Step by Step
Without software, you handle each step through Bond Hub and your own record-keeping:
Step 1: Collect and receipt. Take the bond (maximum four weeks' rent; maximum two additional weeks for a pet bond). For a payment other than a direct bank transfer with a verifiable electronic record, issue an immediate written receipt with the payer's full name, payment date and amount, property address, and whether it is a general or pet bond. A verifiable bank record can serve as the receipt for a direct transfer.
Step 2: Calculate your deadline. Count 23 working days starting on the next working day after you receive the money. Working days exclude Saturdays, Sundays, public holidays (including regional anniversary days), and 24 December through 3 January inclusive. Mark the deadline somewhere you'll see it. This is the step where software earns its keep — an automated countdown versus a calendar note you might forget.
Step 3: Register in Bond Hub. Sign in with a RealMe account or an approved Tenancy Portal login. If a bond is already on record, use the Landlord ID associated with it; follow Bond Hub's prompts if you're new.
Step 4: Submit the lodgement. Enter the property address, tenancy start date, weekly rent, bond amount, and tenant details in Bond Hub. Keep the receipt with your own records, then submit the bond details and payment.
Step 5: Wait for processing. After Tenancy Services receives a complete and correct lodgement, processing can take up to 10 working days and it will issue a Bond Number. During this window, don't submit duplicate requests — check Bond Hub for status updates. File your confirmation email when it arrives.
Step 6: Handle changes as they come. Flatmate swaps, bond top-ups after rent increases, and pet bond additions all go through Bond Hub. Each has its own process and requirements. Since 29 June 2026, paper bond refund, change-of-tenant, and change-of-landlord forms have been retired; use Bond Hub or connected property management software for those transactions.
Step 7: Process the refund at exit. When the tenancy ends, inspect the property, document condition with dated photos, and submit a refund request through Bond Hub. The tenant gets 12 working days to respond. If the tenant agrees, the bond is refunded the following day.
Where Manual Management Gets Risky
The process is straightforward. The risk sits in three places:
The 23-working-day deadline. Software sends automated reminders. Without it, you need to track this yourself. Missing it is an unlawful act under the Residential Tenancies Act. In a 2017 case involving 54 unlodged bonds, Tenancy Services reported a total Tribunal order of NZ$38,713.76 in exemplary damages and costs.
Exit evidence quality. When you claim a bond deduction for cleaning or damage, you need evidence of the loss. Dated move-in and move-out photos, condition reports, and repair quotes or paid invoices can support a claim. Software platforms provide structured templates for this. Without them, you need your own system for collecting and organising evidence that holds up.
Paper trail gaps. Every email, receipt, confirmation, and communication about the bond is potentially evidence. Software logs this automatically. Manual management means you keep the records yourself — and six months into a tenancy, that filing discipline matters.

Who This Is For
- Landlords with one or two properties who don't want a monthly software subscription
- Self-managing owners who prefer to understand the process rather than delegate it to a platform
- Anyone who's comfortable working directly in Bond Hub and wants to keep costs minimal
- Landlords who've used property management before and are transitioning to self-management
Who This Is NOT For
- Landlords managing three or more properties — the admin load stacks up quickly without automation
- Anyone who struggles to track deadlines independently (the 23-working-day window is unforgiving)
- Landlords in an active tenant dispute who need more than compliance guidance
A Practical Middle Ground
You don't need to choose between expensive software and guessing your way through the process. The Bond Lodgement in New Zealand guide provides the same structured workflow that software automates — audit logs, a working-day calculator, condition report templates, and an exit evidence organiser — in a one-off reference you can follow without a subscription.
It doesn't replace Bond Hub (nothing does — that's where the actual lodgement happens). What it replaces is the need to piece together the process from Tenancy Services' separate web pages and hope you haven't missed a step.
Frequently Asked Questions
Can I lodge a bond directly through Bond Hub without any software?
Yes. Bond Hub is the official government portal operated by Tenancy Services. Landlords can sign in with a RealMe account or an approved Tenancy Portal login; an existing bond record has a Landlord ID. Property management software connects to the same system — it doesn't unlock a different process.
What's the actual cost saving of going without software?
Property management platforms charge $10 to $35 per month plus GST for single-property plans. That's $120 to $420 per year. Over a typical three-year tenancy, you're looking at $360 to $1,260 in subscription fees for a process you could handle yourself through Bond Hub and a structured workflow guide.
How do I track the 23-working-day deadline without automated reminders?
Count 23 working days starting on the next working day after you receive the bond money. Exclude Saturdays, Sundays, public holidays (including your region's anniversary day), and 24 December through 3 January inclusive. Set a calendar alert for at least five working days before the deadline. The calculation isn't complex, but it needs to account for holiday clusters — January and April are especially dense in New Zealand.
Is the paper form retirement a problem for manual management?
No — it actually simplifies things. Since 29 June 2026, paper bond forms are no longer accepted; bond lodgements, top-ups, refunds, and changes are handled online through Bond Hub or connected property management software, with non-digital options for specific situations. If you're starting fresh as a self-managing landlord, you'll use the digital process.
