Scotland Landlord Registration Renewal: The Three-Year Cycle Explained
How the Three-Year Registration Cycle Works
Scottish landlord registration lasts exactly three years from the date your council approves your application. When the three years are up, your entry on the register lapses automatically — there is no rolling extension.
You can submit a renewal application through landlordregistrationscotland.gov.uk up to three months before your expiry date. Submit on time and your registration extends for another three years from the original expiry date — not from the date you clicked "renew."
What Happens If Your Registration Expires
If your registration expires before a valid renewal application is submitted:
- Your register entry goes inactive. Anyone searching the Scottish Landlord Register — tenants, agents, councils — sees that you are no longer registered.
- A late application costs more. Instead of the standard £85 principal fee, a late renewal requires the £170 late application fee plus the £20 per-property fee. That is non-refundable regardless of the reason for the lapse.
- Letting without registration or a pending application is an offence. Under Section 93 of the Antisocial Behaviour etc. (Scotland) Act 2004, letting a property while unregistered and without a pending application is a criminal offence carrying fines up to £50,000.
In Edinburgh, there is an additional hard stop: if your registration has been expired for more than 12 months, you cannot simply renew. You must submit an entirely new application and go through the full assessment again.
Why Landlords Miss the Deadline
Councils send automated email reminders — Edinburgh, for instance, emails at 90, 30, and 14 days before expiry, plus on the expiry date itself. But those emails go to whatever address is on your registration record. If you have changed email providers, if the council's emails land in your spam folder, or if you registered with a work address you no longer use, you will not see them.
There is no statutory grace period after expiry.

How to Protect Your Renewal Date
Set your own reminders outside the council system. A calendar entry four months before expiry gives you a buffer to update your contact details, gather updated safety certificates, and submit comfortably within the three-month renewal window.
Keep a record of your registration number, approval date, expiry date, and the council area in one place. The Scotland landlord registration guide includes a three-year renewal calendar designed specifically for this — one page that tracks every property and deadline so you are never relying solely on a council email that may not arrive.
Renewal Step by Step
- Log in to landlordregistrationscotland.gov.uk with your existing account
- Select "Renew" on your current registration entry
- Confirm or update your personal details, property addresses, and letting agent declarations
- Complete the statutory safety declarations (gas safety, EICR, interlinked fire alarms, carbon monoxide detectors, legionella risk assessment, EPC)
- Pay the standard fees (£85 principal + £20 per property)
- Wait for council approval — you have "landlord registration pending" status in the meantime
If your details and safety certificates are current, the whole process takes under 30 minutes. If they are not, renewal is the moment you will discover the gaps.
