Letting Agent and Landlord Registration in Northern Ireland

What an Agent Can and Cannot Do

A letting or managing agent can physically help you submit your landlord registration in Northern Ireland. They can fill in the form, enter your details on the nidirect portal, and manage your account on your behalf.

What they cannot do is take on your legal liability. Statutory responsibility for being registered rests entirely with the property owner under the Landlord Registration Scheme Regulations 2014. If registration isn't completed — or if the information on the register is wrong — it's the landlord who faces the Fixed Penalty Notice, not the agent.

This distinction trips up landlords who assume that hiring a full-management agent means every compliance obligation is handled. Most obligations are. Landlord registration liability isn't one of them.

What Must Appear on the Register

Under Schedule 1, Paragraph 1(b) of the 2014 Regulations, the landlord must disclose the name, business address, and contact details of any managing agent acting on their behalf. This information goes on the register during the application.

If you change agents mid-cycle — switching firms, bringing management in-house, or appointing a new agent for the first time — the register must be updated. This is free to do through your nidirect account at any time.

The registration number generated belongs to you, the property owner. It doesn't transfer to the agent, and it doesn't change when you switch agents.

Verifying Your Agent's Work

If your agent submitted the registration on your behalf, it's worth logging into your nidirect account to verify:

  • Your personal details are correct — name, address, phone, email
  • Every property is listed — address, postcode, and build year for each
  • The agent's details match the current firm — not a previous agent
  • Joint owner information is accurate if applicable

Agents handling multiple landlord accounts sometimes make data entry errors. Since enforcement liability falls on you, a quick verification protects your position.

When Agents Don't Track Renewals

A full-management agent will often track compliance dates on your behalf. But if you switch to self-management or change agents during your three-year registration period, the new arrangement may not include tracking your renewal deadline.

The registration system sends an automated renewal reminder eight weeks before expiry, but it goes to the email on your account — which may be the agent's email if that's what was used during registration. If you've parted ways with that agent, you might never see the reminder.

The safest approach: keep your own record of the three-year expiry date, regardless of whether you use an agent.
