Landlord Registration Certificate in Northern Ireland
What the Certificate Contains
Your Landlord Registration Certificate is the official proof that you've met the registration requirement under Northern Ireland law. It contains three things that matter:
- Your full legal name and correspondence address
- Your unique Landlord Registration Number
- The start date and exact expiry date of your three-year registration period
A payment receipt or bank statement showing the registration fee is not a substitute. Only the certificate itself constitutes legal proof of registration.
Where to Find Your Registration Number
If you registered online, your certificate was generated as a downloadable PDF immediately after payment. It should be in your downloads folder, email, or wherever you saved it at the time.
If you can't find the original file, log into your nidirect account. The certificate is available for download at any time through your account dashboard — replacement downloads are free and unlimited.
Lost Certificate, Lost Login
The trickier situation: you can't remember your nidirect login credentials. If you still have access to the email address you used when registering, use the portal's password reset function.
If you've lost access to the original email account entirely, call the Landlord Registration helpline on 0300 200 7821 (or +44 300 200 7821 from outside the UK). The team at Lisburn & Castlereagh City Council administers the scheme and can help recover your account.

Where You Must Display the Number
Under Regulation 8 of the 2014 Regulations, your registration number must appear on all written correspondence relating to your role as a landlord:
- Written tenancy agreements
- Tenancy Information Notices (required within 28 days of granting a tenancy)
- Rent receipts
- Rent increase notices
- Formal letters to tenants, agents, or district councils
Including the number in property advertisements is encouraged but not legally mandatory. Including it in tenancy paperwork is.
Tenants and the Public Register
Anyone — tenants, prospective renters, councils — can verify your registration through the public search on nidirect. They can search by landlord name or property address to confirm whether you're registered and see your registration number and agent details.
Your personal residential address, date of birth, phone number, and email remain confidential. The public register only shows what Schedule 2 of the 2014 Regulations permits: your name, registration number, and agent contact details.
Keep It Accessible
Store the certificate PDF somewhere you won't lose it — a dedicated property folder, cloud storage, or printed in your landlord records. You'll need the number when drafting tenancy agreements, serving notices, or responding to council correspondence. Having it immediately to hand avoids the scramble of trying to recover access under time pressure.
For a complete guide to registration paperwork including where to use your number and how to handle joint-owner certificates, the Northern Ireland Landlord Registration Guide covers the full certificate lifecycle.
