$0 Rent Smart Wales Checklist

Rent Smart Wales Registration Step by Step

What You Need Before You Start

Rent Smart Wales runs entirely through the online portal at rentsmart.gov.wales. Before you create an account, gather everything the form asks for — missing a single field mid-application is how landlords end up defaulting to the £102 paper route instead of paying £60 online.

Here is the full document checklist:

  • Your National Insurance number (or passport number if you don't have one)
  • Date of birth and current correspondence address
  • Email address you check regularly — RSW sends renewal reminders here
  • Full addresses of every Welsh rental property you own, including postcodes
  • If you use a letting agent: their Rent Smart Wales licence number
  • For joint ownership: full names, dates of birth and contact details for every co-owner
  • For company-owned property: Companies House registration number and registered office address

You do not need to upload scanned documents during a standard application. RSW reserves the right to request proof of ownership later, but the initial submission is a data-entry form, not a document upload.

Creating Your Account and Submitting the Application

Go to rentsmart.gov.wales and select "Register as a Landlord." The portal walks you through five stages:

  1. Account creation — set up login credentials and verify your email address
  2. Ownership structure — choose Individual, Joint, or Corporate. Joint owners register under one single registration with a designated lead landlord
  3. Property addresses — enter every Welsh rental property. Properties in England, Scotland or Northern Ireland do not belong here
  4. Agent linking — for each property, declare whether you self-manage or use a licensed agent. If you link an agent, the system notifies them to accept the connection from their own account
  5. Declaration and payment — confirm the information is accurate, pay the £60 fee by debit or credit card, and typically receive your unique Landlord Registration Number automatically on payment

The whole process takes 15–30 minutes if your documents are ready. Without them, session timeouts force you to start over.

How Long Does Registration Take?

Online registrations are confirmed automatically once payment clears. You receive your Landlord Registration Number the same day — usually within minutes.

Paper applications are different. RSW manually reviews each one, and processing takes two to four weeks depending on volume. During busy periods (especially when thousands of five-year renewals cluster together), paper applications can sit longer.

The practical advice: register online. It is faster, cheaper (£60 vs £102), and generates your registration number instantly.

Common Mistakes That Delay or Derail Applications

Entering properties individually as separate registrations. Landlord registration covers you as a person, not per property. One registration at £60 covers your entire Welsh portfolio. Adding a second property later is a free update, not a new application.

Confusing registration with licensing. Registration records who you are. If you self-manage any letting or property management tasks — collecting rent, arranging repairs, conducting viewings — you also need a separate Landlord Licence (£254 online). Registration alone does not authorise you to manage.

Forgetting the 28-day rule for new acquisitions. If you acquire a property that is already subject to a domestic tenancy, you have 28 days from legal assignment or completion to update your RSW registration with the new address. Missing this window is a statutory offence.

Skipping agent verification. Linking an agent on the portal does not mean they are licensed. Search the public register yourself and confirm the agent's licence is active before signing a management agreement.

What Happens After Registration

Your registration is valid for five years. RSW sends renewal reminders, but the obligation to renew on time is yours. The renewal window opens 84 days before expiry, and renewing online costs £48 — less than half the cost of a late re-registration at the full £60 new-application rate.

Between renewals, you must report changes of circumstances within 28 days: new properties, sold properties, a change of agent, or updated personal details. The 28-day acquisition period applies to a new property already subject to a domestic tenancy. Updates are made through the portal.

If you are self-managing, your next step after registration is completing approved training and applying for your Landlord Licence. Our Rent Smart Wales guide walks through the entire registration-to-licensing sequence with pre-application worksheets, a dual-clock renewal tracker, and a compliance record you can produce in court if a possession claim ever requires it.
