PRS Database Fee Per Property: Costs, Renewals and Portfolio Budgeting

How Much It Costs

The announced PRS Database fee is £65 per property per year. It's charged per dwelling entry, not per landlord — so registering your landlord account is free, but each rental property you add costs £65 annually.

Joint owners share a single dwelling entry for their co-owned property, meaning one £65 fee covers that property regardless of how many names are on the title.

Portfolio Costs Add Up

The per-property model means costs scale linearly:

Properties Annual Fee 3-Year Total
1 £65 £195
2 £130 £390
5 £325 £975
10 £650 £1,950

These totals assume three full-rate annual charges. The first fee during rollout is pro-rated, so the total depends on when you register.

These figures sit on top of other regulatory costs: Gas Safety inspections (~£80/year), EICR renewals (~£40/year amortised over the 5-year cycle), and the mandatory PRS Landlord Ombudsman fee expected from 2028 (~£40/year estimated). Local authority licensing — selective or HMO — runs separately at £500–£1,200 per five-year licence depending on the council.

The £65 is tax-deductible as an allowable expense against rental income.

Pro-Rated Fees During Rollout

Properties registered during the initial regional rollout phase pay a pro-rated amount based on the month their region opens. A West Midlands property registered in December 2026 pays a different first-year amount than a London property registered in July 2027. After the first year, every renewal reverts to the full £65.

What Happens at Renewal

Active registration lasts exactly 12 months from the activation date. There is no grace period. If you have not renewed by the renewal date, the entry becomes inactive the following day.

An inactive entry means:

  • You cannot advertise or let the property
  • A court cannot make a possession order while you remain in breach, except on anti-social behaviour Grounds 7A and 14

For portfolio landlords who registered properties across different months, each property has its own renewal date. Missing one renewal doesn't affect the others, but tracking scattered dates is where mistakes happen.

Budgeting for the Long Term

Factor the £65/property/year into your annual compliance budget alongside safety certificate renewals and insurance. For a two-property landlord, the regulatory cost stack — database fees, Gas Safety, EICR, plus the eventual Ombudsman fee — runs roughly £675 over three years per property.

The PRS Database Registration Guide includes a fee calculator worksheet and renewal tracker to help you map costs and deadlines across your portfolio.
